General Terms and Conditions for Registration for the SLO Vespa 2025 Event

By submitting a registration for the SLO Vespa 2025 event, each participant agrees to the following general terms and conditions:

1. General Responsibility of Participants

• Each participant is personally responsible for complying with road traffic regulations in the Republic of Slovenia. The organizer is not liable for any violations of the law by participants.
• Participants confirm that their vehicles are technically roadworthy and appropriately registered for public road use.
• The organizer is not responsible for any injuries, accidents, or damages caused during the event due to improper driving or failure to comply with traffic regulations.

2. Responsibility for Personal Property

• Participants are responsible for the security of their personal belongings, including their vehicles and other items.
• The organizer assumes no responsibility for loss, theft, or damage to personal property during the event.

3. Respectful Conduct

• Participants commit to behaving respectfully towards other participants, organizers, and visitors during the event.
• Any violent, offensive, inappropriate, or disruptive behavior may result in the removal of the participant from the event without a refund of the registration fee.

4. Registration and Payment

•A participant is considered successfully registered only after the registration fee of 90 EUR is paid.

• Upon payment and processing of the registration fee, the participant will receive a confirmation email, including a start number as proof of successful registration.
• Registration fees are non-refundable unless the event is canceled by the organizer.
• If a registered participant cancels their registration, the organizer is not obligated to refund the registration fee.

5. Accurate Information and Identity Verification

• Participants must provide accurate and truthful information during the registration process.
• At the event’s opening, participants will be required to present proof of identity, which can include:

• A valid ID card
• Driver’s license
• Passport
  • Failure to provide valid identification may result in the participant being denied access to the event.

6. Event Cancellation and Refunds

• The organizer reserves the right to modify the program or cancel the event due to force majeure (e.g., weather conditions, pandemics, etc.) or other unforeseen circumstances.
• In the event of cancellation, registration fees will be refunded, except for costs incurred during the registration process (e.g., transaction fees).

7. Photography and Filming

• By registering for the event, participants agree to be photographed and filmed during the event. Photos and videos may be used for promotional purposes without additional consent from participants.

8. Personal Data

• Participants agree that the organizer collects and processes personal data solely for the purpose of organizing the event in accordance with data protection laws.
• Personal data will not be shared with third parties without the participant’s explicit consent.

9. Consent Upon Registration

• By registering for the event, participants confirm that they have read, understood, and agreed to the terms and conditions. Participants commit to following all instructions provided by the organizer and security staff during the event.

10. Agreement to the Prize Draw Rules

By registering for the event, the participant is considered to have agreed to participate in the prize draw and to have accepted its rules.

The prize draw regulation is an integral part of these General Terms and Conditions and is published on the event website: www.slo-vespa.si.

The organizer reserves the right to modify the rules in case of legal changes or force majeure and will notify participants accordingly.
In the event of disputes related to the prize draw, the competent court in Ljubljana, Slovenia, shall have jurisdiction.

Processing of Personal Data

1. Data Controller:
   Vespa Klub Ljubljana.
   Personal data is processed and protected in accordance with the Personal Data Protection Act (Official Gazette of the Republic of Slovenia, No. 94/2007) and Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation) (OJ L 119, 4.5.2016, p. 1–88), as well as the applicable internal Personal Data Protection Policy (if applicable; otherwise, remove this part).

2. Legal Basis:
   The legal basis for the processing of personal data is Article 6(1)(a) of the General Data Protection Regulation (GDPR), where the data subject gives consent for the processing of their personal data for one or more specific purposes.

3. Personal Data:
   The types of personal data processed include:

• First Name
• Last Name
• Email Address
• Phone Number

4. Purpose of Processing:
   Your personal data is processed for the following purposes:

• Direct Marketing: Informing you about upcoming events and activities of Vespa Club Ljubljana.
• Advertising: Sending promotional messages containing content from sponsors, including promotional campaigns and special offers.
• Surveying: Collecting feedback on events to improve future events.

5. Data Retention Period:
   Your personal data will be retained until consent is withdrawn (via email to Vespa Klub Ljubljana) or until the purpose of processing is fulfilled.
